Preparing your data document

Before sending your data file, please ensure that your transcripts are clean, complete, and consistently formatted. Each interview should be clearly separated, ideally with one participant per transcript, and speakers should be labelled consistently (for example, Interviewer and Participant). Remove or anonymise any identifying information (such as names, locations, workplaces, or unique personal details) and replace these with neutral descriptors where necessary. Ensure that the document reflects the final version of the data you wish to analyse, as later changes can affect coding consistency. Files should be submitted in an editable format (preferably Word), with clear paragraphing and no tracked changes or comments. Taking time to prepare your data carefully at this stage helps ensure the analysis is accurate, ethical, and efficient. For the best analytic results, we recommend you organise your data by participant, i.e. one full interview transcript followed by the next. We can also work with datasets that are organised by question. Make sure each respondent has an identifying label such as initials (A.B., C.D. etc) or P1, P2 etc.

Does my data need proofreading/editing?

With thematic data analysis, it is certainly true that the quality of what you get out depends on what you put in. Transcripts should be checked for clarity and accuracy before analysis, but they do not need to be linguistically polished or “cleaned up.” The goal of proofreading for qualitative analysis is accuracy and usability, not grammatical correctness. Here’s what needs to be checked:

Before analysis, transcripts should be reviewed to ensure that:

  • The speaker is correctly identified throughout
  • The text reflects what was actually said (no missing sections, duplicated text, or obvious transcription errors)
  • Sentences are readable enough to retain meaning
  • Any misheard words that change meaning are corrected
  • The transcript is complete (not cut off or partial)

This level of checking is important because thematic analysis depends on meaning, not wording.
